Master The Sales Report To Track Revenue, Analyze Sales Trends, And Make Data-Driven Decisions. Use Filters, Custom Views, And Exports For Deeper Insights

1. Accessing the Sales Report

To view your Sales Report:

  • Navigate to Reports from the main dashboard.

  • Select Sales Report from the available report options.

You’ll land on the default view called As Simple, showing sales data for the current month, look for the “This Month” label at the top.


2. Customizing Your Report: Report Options & Filters

Want to see your sales data your way? Click the REPORT OPTIONS button at the top.

Choose Your Report Type

Here’s what you can pick from:

  • Simple: A quick summary without all the financial details.

  • Detailed: The view with every transaction broken down line-by-line.

  • Per Month / Per Week: Group your sales by month or week to spot trends.

  • Per User: See sales by staff member who processed the transaction.

  • Per Package: Track sales for specific packages or memberships.

  • Per Branch & Transaction Type: Combine location and payment type for detailed insight.

  • Per Client: Check out sales history for individual clients.

  • Per Category: Break down sales by service types like classes, PT sessions, or retail.

  • Per Branch: Compare sales across multiple locations.

Apply Filters

Narrow your view by:

  • Branch: Select a specific location.

  • Client Branch: Filter by the client’s registered branch.

After picking your report type and filters, hit Apply to generate your custom report.
Use Reset Filters to clear everything and start over.


3. Understanding Your Detailed Sales Report Data: The Overview

At the top of your report, you’ll see summary cards showing key sales insights.

What’s in Each Summary Card?

  • Invoice Item Breakdown: Shows where your revenue comes from — packages, product sales, reservations, and others.

  • Payment Method Breakdown: See how clients pay (Cash, Credit Card, or On Account). “On Account” means payments booked but not yet received.

  • Total Sales / VAT / Net Sales: Gross sales, tax collected, and your net revenue after VAT.

  • Total Cash Flow: Actual cash collected during the report period.

  • Payments (Outside/Within Date Range): Payments recorded this period that apply to transactions outside the date range, and vice versa.

  • Period: Always double-check this to ensure you’re reviewing the right timeframe.


4. Diving Deeper: Detailed Transaction Breakdown

Below the summary is your detailed table, listing every transaction.

Key Columns to Know

  • Transaction #: Unique ID for each sale.

  • User: Staff member who processed the sale.

  • Client: Who bought the service or item.

  • Date & Time: When it happened.

  • Description: What was sold (e.g., “Open Gym Package”). Cancellation fees also show here.

  • Item ID: Specific identifiers for the item/service.
  • Item Name: The chosen name for the package/item

  • Unit Price in the currency: Price shown in original currency.
  • Discount: Any discounts applied.

  • Item Net Amount / Item VAT / Item Total: Price breakdown after discount, tax, and final total.

  • RCT # / RCT Method / RCT Amt In USD: Receipt and payment method details.

  • Outstanding: Shows any remaining balance due (highlighted if unpaid).


5. Exporting and Searching Your Report

Want to work with your data offline? Click EXPORT in the top-right corner to download your report as CSV or Excel.

Use the Search bar to quickly find specific transactions by transaction number, client name, or description.

Hit Refresh anytime to update the report after applying filters or when new transactions come in.


6. Tips for Getting the Most Out of Your Sales Report

  • Check Regularly: Review your sales report weekly and monthly to stay on top of things.

  • Spot Trends: Use the ‘Per Month’ or ‘Per Week’ views to find busy seasons or slow periods.

  • Optimize Services: ‘Per Package’ and ‘Per Category’ reports show which offerings bring in the most revenue.

  • Track Staff Sales: ‘Per User’ report helps you see who’s bringing in what.

  • Manage Payments: Watch the ‘Outstanding’ column to follow up on unpaid balances.
