This Guide Will Walk You Through How To Set Up Pay Rates For Your Staff So You Can Easily Manage Payroll And Ensure Everyone Is Paid Accurately
1. Accessing Staff Pay Rates
To set or update pay rates for your staff:
- Go to Company Settings → Staff
- Select the staff member whose pay rate you want to manage
- Click Add Pay Rate inside their profile
- Choose Create New Pay Rate to start setting it up
2. Pay Rate Types
There are several pay types to choose from based on how your staff are compensated:
- Salary
- Classes
- PT Sessions (Personal Training / appointment-based)
3. Salary Pay Rate
This is a fixed amount paid regularly (usually monthly), regardless of the number of classes or sessions taught. It’s perfect for staff on a standard salary.
4. Class Pay Rate Types
You can select from 5 types of pay rates for classes:
4.1 Fixed Rate
The instructor gets a fixed amount for every class taught.
Example: $50 per class.
4.2 Per Head – Fixed
The pay depends on the number of attendees, multiplied by a fixed fee per attendee.
Example: $5 per attendee x 5 attendees = $25.
4.3 Per Head – Percentage
The instructor earns a percentage of the amount paid by each attendee.
Example: 50% split on $10 paid per attendee x 5 attendees = $25.
4.4 Fixed Plus Per Head Bonus
A fixed amount covers a base number of attendees, plus a bonus for every additional attendee above that number.
Example: $40 for up to 3 attendees + $5 per extra attendee for a class of 5 = $50.
4.5 Incremental
Pay varies based on attendance ranges with different rates per bracket.
Example: $5 per attendee for 0-4 attendees, $4 per attendee for 5-9 attendees.
For 7 attendees: 7 x $4 = $28.
4.6 Per Bracket
Pay is calculated per attendance bracket with different rates for each range.
Example:
- 0-4 attendees at $5 each
- 5-9 attendees at $4 each
For 7 attendees: (4 x $5) + (3 x $4) = $32.
5. PT Session Pay Rate Types
Choose between these 2 types for PT sessions:
5.1 PT Fixed Rate
Fixed pay per PT session completed.
Example: $50 per session.
5.2 PT Percentage
Pay is a percentage of what the client paid for the session.
6. Pay Rate Sub-Types
To customize pay calculations further, select from these sub-types inside your main pay rate:
- Flat Rate: Fixed fee per class/session
- Fixed Per Head: Fixed fee multiplied by number of attendees
- Percentage Per Head: Percentage of what each attendee paid
7. Copy Pay Rates to Multiple Staff
If you have multiple instructors who share the same pay rate, you don’t have to create it again for each one!
Use the Copy Pay Rate feature to duplicate an existing pay rate and apply it to other staff members easily.
This saves time and ensures consistency across your payroll setup.
