DIFFERENCE BETWEEN ACTIVE AND INACTIVE CLIENTS

 

Understanding the difference between active and inactive clients helps businesses track engagement, evaluate performance, and plan retention strategies. Below is a clear explanation of both client types and how to identify them in the system.


Active Clients

Active clients are clients who currently have active packages.

How to Find Active Clients

  • Dashboard
    • You can view the total number of active clients directly from the dashboard.
  • Clients Section
    • Go to the Clients section.
    • Apply the Active filter to display all clients with active packages.
    • This will show detailed client information, such as names and package details.
    • You can export the list if needed.

Additional Filters

When viewing active clients, you can further refine the list using additional filters, such as:

  • Age
  • Membership type
  • Package details
  • Other available client attributes

These filters help you analyze your active client base more effectively.


Inactive Clients

Inactive clients are clients who:

  • Do not have any active packages, and
  • Have no recent visits.

How to Find Inactive Clients

  • Reports Section
    • Navigate to the Reports section.
    • Open the Inactive Clients Report.

Last Visited Option

  • The report includes a Last Visited filter.
  • This allows you to identify clients based on when they last visited (for example, clients who last visited 7 days ago).

Actions You Can Take

  • Export the inactive clients list for reporting or follow-up purposes.
  • Send emails directly to inactive clients to re-engage them with offers, reminders, or updates.



  • How Active Clients are Calculated


Clients are counted based on specific calculation rules to ensure accurate reporting. The following conditions apply:

Package & Client Conditions

For a client to be included in the calculations:

  • The package purchase date must fall within the selected date range.
    • Example: If you select this month, the purchase date must be between the start and end of the current month.
  • The package must be:
    • Started, and
    • Not expired (based on the package dates).
  • The client must not be deleted.
  • The package itself must not be deleted.

Only clients meeting all the above conditions are counted.


  • Visitors, Active Clients, and New Clients

Visitors Under Active Clients

  • The Visitors number shown under Active Clients represents users who:
    • Reserved or booked a class without having an active membership or package.

New Clients Under Visitors

  • The New Clients count under Visitors represents:
    • First-time clients who are buying a package or booking for the first time.
