Easily Move Your Existing Client Data Into Your In2 System! This Guide Will Walk You Through Each Step Of The Migration Process To Ensure A Smooth And Accurate Transfer
1. What Is Data Migration?
Data migration means transferring your existing business data—like client details and memberships—from Excel or another system into in2.
It’s a quick and simple way to keep your records organized and avoid starting from scratch.
Whether you’re moving from another software or pulling information from multiple spreadsheets, we’re here to help every step of the way.
2. What Can Be Migrated?
Here’s what you can import into your in2 system:
✅ Client Information – Names, contact details, date of birth, gender, and client category
✅ Packages & Memberships – Active or inactive packages
✅ Class Schedules – Only if your package type is set to pre-selected unlimited
✅ Opening Balances – Add or deduct funds from client accounts
Tip: The cleaner your sheet (no duplicates or typos), the faster and smoother your migration will be!
3. Supported File Format

Excel or CSV files

4. How to Migrate Your Data
Follow these steps to upload your data correctly:
Step 1: Download the Template
Head to your Clients module and go to the import section.
- For adult clients: click “Simple Client Import - Adults”- For children: click “Simple Client Import - Children”
Step 2: Format Your Excel File
- Open your Excel sheet and press Ctrl + A to select all cells- Right-click and select Format Cells
- Under Category, choose Text, then click OK
If your sheet already includes dates, paste them into a Word doc first to preserve formatting, then reinsert into Excel
Step 3: Add Client Details
Fill in the green-highlighted row with client information:
- Adults – Name + either email address or phone number
- Children – Name + father’s or mother’s name + email or phone number
Step 4: Add Package Details
- Enter the exact package name as created in your in2 system
- Specify the number of remaining passes- Add the start and end dates in dd/mm/yyyy format
- For one-time visitors, write “Drop In” in the package name field
Step 5: Pre-Selected Unlimited Packages
If your package type is pre-selected unlimited, you’ll need to link the relevant class schedule IDs:
- Go to your Schedule Mgmt. inside the in2 system
- Expand the schedule and copy the numbers under ID
- Paste the IDs into the Pre-Scheduled Schedule IDs column (e.g., 123,546)
5. Optional Fields You Can Include
Opening Balance
- Enter a positive number to add credit
- Enter a negative number (e.g., -10) to deduct from the balance
Date of Birth – Format: dd/mm/yyyy
Card ID – Add searchable card numbers
Gender – Enter “Male” or “Female”
Category – Basic, Regular, VIP, Premium
Packages will only be visible to clients if they match the assigned category
6. Best Practices Before Migration
To ensure everything goes smoothly:
✅ Match package names exactly to what’s created in your in2 system—copy and paste to avoid typos or extra spaces
✅ Avoid duplicate clients with the same email or number (except for child profiles)
